Mail User Guide

In the Mail app on your Mac, if you’re certain you’re not receiving messages, even after clicking the Get Mail button in the Mail toolbar, try these suggestions.

  • Check whether Mail is retrieving a large message or a message with large attachments. See View Mail activity.

  • Check if you’re using filters in the message list that are preventing expected messages from being shown.

  • Try sorting messages in the message list by Date or another attribute, or searching for messages, to verify if you received them.

  • Check whether your account is offline or disabled (inactive).

  • If you’re missing emails from a specific person or group, check whether you blocked messages from them.

  • Try quitting Mail, then opening it again.

  • Choose Window > Connection Doctor, then follow any instructions in the Details column. Check for problems logging in to email accounts or with the incoming mail server, or with firewall software blocking network traffic.

Check whether you’re affected by another firewall, such as software installed separately from macOS or built into an internet sharing router, or administered by your email account provider. Contact the appropriate person for information.

  • If you’re still having problems, contact your email account provider to verify your user name, password, incoming mail server, and other required information. Then verify the information is entered correctly in Mail account preferences.

If you’re logged in to a network using VPN, also make sure that you entered your VPN password correctly.

If you're running Mac OS X version 10.10 or later, follow these steps to set up an Exchange email account: Open Mail, and then do one of the following: If you've never used Mail to set up an email account, the Welcome to Mail page opens. If you've used Mail to create email accounts, select Mail Add Account. I have figured this out. On the Mail app, where it says Outlook and your email address, right click and select 'Account Settings'. Then select 'Change mailbox sync settings'. Where it states 'Download email from', change it to 'Any time'. This what fixed my issue. The location of your stored Mail messages isn't readily apparent. They’re buried in a folder in the Library, and the archive uses a.mbox file extension. Since there may be times you want to copy your email to another computer, or even back up stored messages, here's how to find and access all your stored Mail email files.

There are various ways to work with attachments in email messages you receive.

View email attachments

  1. In the Mail app on your Mac, select a message that includes attachments.

Look for the Attachment icon next to the sender’s name in the message list.

  2. In the message, do one of the following:

    • Open an attachment in an app: Double-click the attachment.

    • Preview an attachment without opening it: Select the attachment, then press the Space bar, or force click the attachment.

Some attachments—like images or one-page PDF documents—are displayed directly in the message. If you’d rather view the attachment as an icon, Control-click it, then choose View as Icon from the shortcut menu. To display the attachment again, Control-click it, then choose View in Place.

Save email attachments

  1. In the Mail app on your Mac, move the pointer over the header of a message.

  2. Click the Attach button that appears, click the name of an attachment or choose Save All, then choose a location.

You can also select a message, then choose File > Save Attachments. Or drag an attachment from the message to the desktop to save it there.

Email attachments are saved in the Downloads folder, available in the Dock. To specify a different location, choose Mail > Preferences, click General, then select a folder.

Delete email attachments

  1. In the Mail app on your Mac, select a message that includes one or more attachments.

  2. Choose Message > Remove Attachments.

The message remains in the mailbox and is annotated to indicate that all attachments were manually removed. For IMAP accounts, attachments are also deleted from the mail server and can’t be retrieved.

Download

When you delete a message that includes an attachment, the attachment is deleted too. To change this setting, choose Mail > Preferences, click General, click the “Remove unedited downloads” pop-up menu, then choose an option. Mail doesn’t delete attachments that you have saved.

Mail automatically downloads attachments you receive based on the download option you set in Account Information preferences in Mail.

If you send or forward images or PDF documents you receive to other people, you can mark up the attachments with comments, drawings, or a signature before you send them.
